Training Center Volunteer Policy

Definitions

SWA – The Saskatchewan Weightlifting Association, the governing body for weightlifting in Saskatchewan.

Volunteer – A person who acts in the capacity of executive member, director, committee member, loader, competition setup or teardown or any other identified act that helps the SWA.

Summary

Volunteers are the backbone of any Not-for-profit organization. In order to run competitions, the SWA needs volunteers for Setup, Takedown, and Loading, Committee members, or event organizers. This policy creates a framework for how many hours all SWA Training Centers are responsible for and how the hours will be tracked.

Purpose and Scope

To establish the volunteering responsibilities of the Training Centers of the SWA. All SWA Training Centers must complete the identified requirement of volunteering per registered member prior to the end of the competition season (Oct 1st – Aug 1st) or they will not be eligible to receive the allotted MAP Funding.

Training Centers have a responsibility to volunteer for competitions and other events that directly help the development and financial stability of the SWA.

Policy

Training Centers are responsible for 3 volunteer hours per every registered SWA member for each Competition Year

Hours are tracked by the Training Centre and submitted by the TC Owner/Coach using the Volunteer Hour Tracking Form signed off by any Competition Director, Technical Official Chair, Event Coordinator, or Executive Director.

Training Centers are responsible to have the number of officials as required by the policy. Each identified official is required to volunteer in some capacity as a technical official at a minimum of 4 sessions per competitive season. It is the responsibility of the Training Center to record and coordinate these hours with meet directors and the SWA Executive Director.

Failure to achieve the identified number of hours (as determined by the SWA) will result in ineligibility to receive any allotted MAP funding from the SWA for that year. This MAP funding will then be reallocated to Training Centers that are in good standing

Hours are non-transferable between Training Center

Meet Organizers

Volunteers who help with event setup

Volunteers who help with event teardown

Volunteers who help with Loading at Competitions

Volunteers who sit on active Committees, or are involved in social media, membership management, website management or other identified SWA approved responsibilities

Volunteer hours is the responsibility of the Training Centers. If hours have not been submitted and approved by the Executive in the allotted time frame, then the Training Center will not be eligible for MAP funding.

SWA will monitor volunteer hours but is ultimately the Training Centre’s responsibility to maintain the required amount of hours as per the guidelines of how many members you have in your Club and submit to the Executive Director with your MAP Follow up forms

Required volunteer hours per TC:

Training centers will be responsible for 3 volunteer hours for each identified SWA member up to a maximum of 75 hours.  

1.       For example, a Training Center with 8 members will be responsible for 24 volunteer hours. 

2.       Any member may complete any number of volunteer hours with no maximum.

4.       Volunteer Hours will be monitored by the SWA Executive Director and Board of Directors

5.       Exclusions for Volunteering for a TC

2.       Officiating

3.       Any role where the member is being compensated financially for their time.
